Controller and contact
R&P Consulting SComm, 445 Pavé Du Roeulx, 7110 Strépy-Bracquegnies, Belgium, enterprise number 0730.636.662, VAT BE0730.636.662, controls the processing involved in managing WellFreq. Contact: contact@r-p-consulting.be.
Data and purposes
We process business contact and account details for access, support and password recovery; projects, technical inputs and reports for calculation, storage and reopening studies; order and payment references for billing and access rights; contact enquiries to respond; and session data and technical logs for security and diagnosis. Do not include personal information unrelated to the calculation, passwords or sensitive information in your studies.
Legal bases
Service delivery and requested pre-order steps rely on the contract or pre-contractual measures where you are personally party to the relationship. Managing business representatives and protecting the service rely on our legitimate interests in operating and securing it. Accounting is based on legal obligations. Required account, access and billing information is necessary for those functions. The contact form does not subscribe you to a mailing list.
Recipients and providers
Authorised people at R&P Consulting and providers access data for their respective tasks: Hetzner for hosting and Storage Box for encrypted backups; Brevo for transactional messages; Microsoft 365 for the contact@r-p-consulting.be mailbox; Stripe for payments and billing. Full card details are entered with Stripe; WellFreq keeps references needed to track payments. Authorities or advisers may receive necessary information for a legal obligation or dispute.
International processing
International providers may process data outside the European Economic Area. Their data protection documents describe applicable mechanisms, including adequacy decisions or standard contractual clauses depending on the transfer. Consult the links below or ask R&P Consulting for details of destinations and safeguards applicable to your data. A European hosting location does not mean that all processing remains in the EEA.
Retention and account closure
Account data and studies are retained during use of the account. Following confirmed closure, they are deleted from the active database within 30 days, after export, except where needed for payments, legal obligations or disputes. Simple inactivity does not trigger automatic deletion. Enquiries without an order are retained for 24 months after the last relevant exchange, except for legal obligations or disputes. Accounting records and order evidence follow applicable statutory periods; dispute evidence is retained while the dispute is handled. Request closure by email after exporting documents and cancelling any subscription. Closure does not remove existing payment obligations.
Logs and backups
Web logs rotate daily with the latest 14 archives retained; information needed for an incident may be isolated during its handling. Other security and support logs are retained for the period necessary for diagnosis and incident follow-up. Backups follow a separate cycle: 30 daily, 8 weekly and 12 monthly copies, with at least 3 copies. Active deletion therefore does not immediately erase backups. This rotation is not a fixed deletion deadline if backups stop. Deletion requests must be reapplied before returning a restored service to use.
Cookies and local storage
The tw_session cookie maintains login for up to 30 days. A wellfreq_language session cookie and browser local storage may remember language; local preferences remain until cleared in the browser. The contact form uses abuse protection. Stripe payment pages use their own mechanisms described by Stripe. The review of showcase and application files on 14 October 2026 identified no calls to Google Analytics, Meta Pixel or Microsoft Clarity.
Your rights
Subject to legal conditions, you may request access, correction, erasure, restriction, portability or object to processing based on legitimate interests. Where consent is used, it may be withdrawn for the future. Contact contact@r-p-consulting.be; proportionate identity verification may be necessary. Some records must be retained to comply with law or defend rights. You may complain to the Belgian Data Protection Authority or the authority competent for your circumstances.
